Your Data, Your Control
Your notes are securely stored in Firebase and available whenever you need them. There is no arbitrary retention window or auto-deletion—your records persist until you choose to remove them.

4. Account & Data Deletion
You have the right to delete your account and all associated data at any time. Here's exactly how it works.
How to Delete Your Account
In-App Deletion
Navigate to Settings → Account → Delete Account within the Chart Hound dashboard or mobile app.
Email Request
Send a deletion request to james@charthound.ai from the email associated with your account.
Confirmation & Processing
We will verify your identity and process the deletion within 30 days. You'll receive a confirmation email once complete.
What Gets Deleted

Clinic & Team Accounts
If you are part of a clinic team, deleting your individual account removes your personal data and access. Clinic-level records (patients, shared notes) are managed by the clinic admin. Contact your clinic administrator or reach out to us for clinic-wide data deletion requests.
5. Third-Party AI Data Processing
Chart Hound uses third-party AI services to power core features. Here is exactly what data is sent, to whom, and how it is protected.
Google Cloud Platform

- Audio recordings (for transcription to SOAP notes)
- Lab report images/PDFs (for structured result parsing)
- SOAP notes (for pet parent plain-language summaries)
Protections
- Processing is ephemeral — data is not retained after the API call
- We have opted out of all AI model training
- All data routed through our private backend (never direct from device)
Anthropic PBC

- Veterinary note content (for AI-assisted processing)
- Clinical context (for accurate medical note generation)

Our AI Data Commitment
Chart Hound utilizes Google Cloud Platform (GCP) and Anthropic PBC as sub-processors for secure, ephemeral AI data processing. All data is routed through our private backend to these enterprise-grade environments. We have opted out of all data training. Your veterinary data is never used to improve or train any AI models. In-app consent is required before any data is processed by these services.
